DESCRIPTION OF THE ASSIGNMENT
Under the supervision of the Registrar, the Assistant Registrar will assist in the day-to-day implementation of the project and in the management of the operation’s registry (administration, coordination, controlling, drafting of written materials, etc.).
ROLES AND RESPONSIBILITIES
- Assists in performing registry services including receiving, reviewing and proofreading as well as processing all incoming and outgoing official communication;
- Provides direct support regarding general administration and document management; scanning of physical records and timely dispatch of outgoing mail;
- Maintains and updates the filing system by organizing, labelling/renaming and preserving physical and digitized records;
- Initiates review/inventory of files contents, facilitates records transfers into the archives, applies retention schedules and archiving policies, oversees space allocations and monitors environmental conditions;
- Responds to inquiries and requests; searches for information and documents; and, updates relevant databases.
